Who we are
The AI Leadership Roadmap is provided by the African Academy of Artificial Intelligence (Pty) Ltd, registration number 2023/902886/07, 55 Knox Street, Johannesburg 2090, South Africa ("AAAI"). Contact: info@aaai.africa. AAAI is the responsible party under the Protection of Personal Information Act, 2013 (POPIA).
What we collect and why
Account details: your name, business email address, company and password (stored only as a secure hash). We use these to run your account, send you the emails you have asked for, and tell you about AAAI programmes that may help you. You can opt out of any email at any time.
Your answers: everything you write in your roadmap. We use your answers only to show you your roadmap, your section outputs and your AI feedback.
Progress: which sections you have completed and when. We use this to personalise your weekly check-in email.
AI Leadership Check: your answers to the check are stored and encrypted like the rest of your roadmap. From them we work out your organisation's overall AI readiness level and weakest pillar. We use those two results to personalise your check-ins and AI feedback, and we record them in our CRM so we can suggest the right programme. We never record the answers themselves in the CRM.
Talk to us: if you send us a message through a "Talk to us" form, we receive your name, email, company, phone number if you give it, your message and the programme you asked about. We also see your overall AI readiness level, weakest pillar and how far you are through your roadmap, so we can suggest the right next step. We record these in our CRM (Attio) and use them only to reply to you. We never see or share your roadmap answers.
The standalone AI Leadership Check
If you take the AI Leadership Check on its own, at /check, without building a roadmap, different rules apply, and you agree to them before you start. AAAI stores your name, business email, company, role, sector, organisation size and answers, and AAAI staff can see them. We use them to analyse AI readiness across organisations and sectors, to send you your result, and to follow up with you. We record your name, email and readiness level in our CRM. We send you marketing only if you tick the box for it.
If your organisation invited you through a team link, your organisation receives a combined report of everyone who took part. It never sees your individual answers, and the report only appears once at least three people have responded.
The public check pages use the Google tag, as the rest of aaai.africa does, to measure whether our Google ads lead to completed checks. Google receives that a check was completed, but never your name, email, company or answers. Roadmap pages do not use it.
Your result page has a private link. Anyone with that link can see your result, so keep it private. You can ask us to delete your check at any time by writing to info@aaai.africa.
Who can see your roadmap answers
Only you. Your answers are encrypted before they are stored, and the key is held separately in our secure hosting settings. AAAI has no screen or report that shows anyone's answers, and AAAI staff do not read them. Access to the hosting systems is restricted to the people who maintain the service. Your answers are never added to our CRM or mailing lists, and they are never included in check-in emails. Only your overall AI readiness level and weakest pillar are recorded in our CRM. If you click "Email me a copy", we send your roadmap to your own business email address. That is the only time your answers leave the app by email. Our email provider, Resend, processes that email to deliver it.
AI feedback and transfers outside South Africa
When you ask for AI feedback or your final summary, the relevant answers are sent to Anthropic, PBC, a provider based in the United States, to generate the feedback. Before sending, we remove your name, email address and company name. Please describe people by role, not name. Anthropic does not use this data to train its models. Your weekly check-in is written by AI using only your progress and your overall readiness level, never your answers. You consented to this transfer when you registered, under section 72 of POPIA.
Where your data is stored
Your account and answers are stored on Webflow Cloud infrastructure, which may be located outside South Africa. Email is sent through Resend. Your name, business email, overall AI readiness level and weakest pillar are also held in AAAI's CRM (Attio).
How long we keep it
We keep your account and answers until you delete them. If AAAI ever closes the service, we will email you first so you can download your roadmap.
Your rights
You can download all of your answers and delete your account at any time from your account page. Deleting your account removes your answers permanently. You may also ask us to correct your details, object to processing or lodge a complaint with the Information Regulator (South Africa).
