Booking and cancellation terms

Bookings are not refundable, but any participant can move a full course or a missed session to a later intake.

These terms apply to every booking for an AAAI live online course.

1. Who these terms cover

1.1 These terms form the agreement between African Academy of Artificial Intelligence (Pty) Ltd ("AAAI"), registration number 2023/902886/07, and the person or organisation that makes the booking ("you").

1.2 "Participant" means each person named on the booking who attends a course.

1.3 By completing a booking, you confirm that you have authority to book for every participant named, and that you accept these terms on their behalf.

2. Booking and payment

2.1 Prices are quoted in South African rand and exclude VAT. VAT at 15% is added to the quoted price at checkout, and the total you pay includes it. AAAI issues a tax invoice for every booking.

2.2 Card or Instant EFT through Payfast: your seats are confirmed once Payfast confirms the payment.

2.3 Tax invoice: AAAI holds your seats for 7 days from the invoice date. Payment is due within 7 days, and in all cases before the first session. Seats that are still unpaid after 7 days may be released.

2.4 A participant may join a session only once the booking is paid in full.

2.5 Where a course qualifies for a Skills Development Levy claim, AAAI provides the documents you need to claim. Approval of the claim rests with your SETA, and your payment to AAAI does not depend on it.

3. Early bird pricing

3.1 The early bird price applies to bookings completed on or before the published deadline. For invoice bookings, payment must also reach AAAI by the invoice due date.

3.2 If an invoice is paid after its due date, AAAI may charge the standard price instead.

3.3 A participant who defers keeps the price that was paid, as clause 4.6 explains.

4. Deferring to a future intake

AAAI plans to run each course monthly in 2027, so a participant who cannot attend does not lose their place.

4.1 Deferring the whole course. Before the first session, you may move a participant to any later intake of the same course that starts within 12 months of the original start date. Tell AAAI in writing at info@aaai.africa.

4.2 Notice. Please give at least 5 business days' notice before the first session. With less notice, the deferral still applies, but AAAI cannot promise a seat on the next intake.

4.3 Deferring a single session. If a participant misses a session, they may attend the same session in a later intake within the same 12 months, so they still complete the full course.

4.4 How often. Each booking may be deferred once for the whole course. Missed sessions may be made up as often as needed within the 12 months. Any further deferral is at AAAI's discretion.

4.5 Seats. Places on later intakes are subject to availability, and each intake is limited to 25 participants. AAAI will offer the nearest available date.

4.6 Price. A deferred booking keeps the price you paid. AAAI will not ask you to pay more if the price rises, and no difference is refunded if it falls.

4.7 Changing course. At AAAI's discretion, you may move a booking to a different course. If the new course costs more, you pay the difference. If it costs less, the difference is not refunded.

4.8 Expiry. A deferred place expires 12 months after the original course start date. An expired place carries no refund or credit.

4.9 Course content may be updated between intakes. A deferred participant attends the course as it runs on the new dates.

5. Substitutions

5.1 You may replace a participant with someone else at no charge. Email the new participant's name and email address to info@aaai.africa before the next session.

5.2 A substitute takes over the seat for the rest of the course. One seat cannot be shared between different people on different sessions.

6. Cancellations and refunds

6.1 No refunds. Once a booking is confirmed, fees are not refundable, except where clause 6.2, clause 7 or the law says otherwise. Instead, you may defer (clause 4) or substitute (clause 5) at no charge.

6.2 Cooling-off for online bookings. If you booked online as an individual, you may cancel within 7 days of the booking date, as section 44 of the Electronic Communications and Transactions Act allows. AAAI refunds the full amount within 30 days of your cancellation. This right ends once the participant has attended a session, because the course has then begun with your consent.

6.3 Missed sessions. A participant who misses a session, with or without notice, may make it up under clause 4.3. Missed sessions are not refunded.

6.4 How to tell us. Send every cancellation, deferral or substitution in writing to info@aaai.africa, quoting your booking reference. The date AAAI receives your email is the date of notice.

6.5 Nothing in these terms limits any right you have under the Consumer Protection Act or the Electronic Communications and Transactions Act.

7. If AAAI changes, postpones or cancels a course

7.1 AAAI may change a facilitator, a session time or course content where needed, as long as the course still meets its published outcomes. AAAI will tell you as early as possible.

7.2 AAAI may postpone an intake that does not reach the minimum number of participants. AAAI will give at least 5 business days' notice before the first session.

7.3 If AAAI postpones or cancels an intake, you choose one of these:

  • a place on a later intake at no extra cost; or
  • a full refund, paid within 14 days of your choice.

7.4 If a session cannot run because of a problem on AAAI's side, such as a facilitator's illness or a platform failure, AAAI will reschedule it and tell participants within 2 business days.

7.5 AAAI is not responsible for delays caused by events beyond its reasonable control, such as power outages, network failures or platform outages. In these cases AAAI will reschedule the affected session, and clause 7.3 applies if the intake cannot run at all.

8. Attendance, certificates and conduct

8.1 A participant receives a Certificate of Completion after attending every session, including any made up under clause 4.3, and completing the practical tasks.

8.2 Participants are expected to join on time and take part in the exercises.

8.3 AAAI may remove a participant who disrupts a session or treats others with disrespect. A removed participant is not entitled to a refund.

9. Online sessions and technology

9.1 Sessions run live online on the platform named in the joining email. Each joining link is personal and must not be shared.

9.2 Each participant is responsible for a working device, a stable internet connection and access to the software their course uses. AAAI will tell participants what they need before the first session.

9.3 During exercises, participants must not enter confidential client data or personal information into any AI tool. AAAI provides practice material for this purpose.

10. Course materials and recordings

10.1 AAAI owns all course materials. Participants may use them for their own learning and inside their own organisation, but may not sell, publish or share them more widely.

10.2 AAAI may record sessions for quality and catch-up purposes, and will say so at the start of any recorded session. Recordings are shared only with participants on that intake.

10.3 Participants may not record sessions without AAAI's written permission.

11. Privacy

11.1 AAAI processes participants' personal information in line with the Protection of Personal Information Act (POPIA). AAAI uses it to manage the booking, run the course, issue certificates and prepare levy documents.

11.2 AAAI sends marketing only to people who have agreed to receive it. Anyone can unsubscribe at any time. AAAI's privacy policy explains the rest.

12. Liability

12.1 AAAI's courses are educational. Each organisation remains responsible for how it applies AI in its own work.

12.2 To the extent the law allows, AAAI's total liability for any booking is limited to the fees paid for it. AAAI is not liable for indirect or consequential loss.

13. General

13.1 South African law governs these terms.

13.2 AAAI may update these terms. The current version is published at www.aaai.africa/termsconditions, and the version published when you book applies to your booking.
